Helping a multi-national retailer quickly build a strong team for a major project

Although there are exceptions, large corporations tend to move slowly when ramping up large projects due to their complex organizational structures and numerous bureaucratic layers. For this reason, one multi-national retail corporation needing to spin up an entirely new engineering team turned to Kalles Group’s on-demand resourcing (ODR) for support.

Challenge

The project: A portal to track retail vendors’ sustainability practices 

Upon pledging to increase its sustainability commitment, the client needed a user-friendly application to track vendor criteria like fair labor practices, energy conservation, and the minimization of waste in packaging, natural resources, and water usage.  

To complete this project in a time-sensitive manner—and knowing that major changes like the sustainability pledge could send shock waves through the vendor ecosystem if not implemented carefully—the client needed to quickly staff build-up “pods” with design and engineering professionals.  

 

Why quickly ramping up a new team can be tough for a large corporation 

There are two main reasons why a major corporation might be unable to effectively staff a team of professionals on a large, short-term project using their own internal recruiting support. The first is speed. With multiple highly skilled people needed for the project and a potentially short-staffed recruiting team, the client was likely to take too long to make hires. They were also unable to fill these roles simply by pulling people over from other areas of the company.  

The second reason has to do with duration and quality. For normal staffing situations, part of securing a highly qualified candidate involves making a commitment to a long-term hire and a competitive annual salary. In this case, the client only needed 3-6 months of support. When a hiring need is project-based, and the exact time frame is uncertain, consulting is a much more attractive option.      

 

Requirements for the new team members, from engineering aptitude to culture fit 

The new team would be building a number of brand-new tools in addition to helping customize third-party tools for internal use. This required engineers and product designers who would be able to work in an agile environment, perform extensive user research, and make sure that initial prototypes satisfied business needs before hard coding began.  

The client also wanted professionals who would be able to hit the ground running, demonstrating a solid fit within the company culture and the ability to provide guidance to existing team members. In particular, the new team members would need to be on board with the client’s values.

Approach

The client provided the KG team with a range of engineering roles that they were looking for. Kalles Group’s active investments in organizing networking events, keeping in touch with past interviewees and consultants, and cultivating a strong talent pipeline really pays off when it comes to finding quality candidates for highly specific needs.  

Kalles Group’s internal vetting process includes a thorough evaluation of both technical aptitude and culture fit for a role. Through a detailed understanding of what the client was looking for, the KG team presented insights summarizing why each consultant was being recommended. This information helped the client make hiring decisions much faster and with greater confidence.  

The KG team then stepped in to coordinate interviews. Through a high-touch facilitating process, Kalles Group bridged everything together, scheduling interview appointments and keeping the client and the consultants fully informed at every step of the way. This allowed the client to build a team much more quickly and kick off the sustainability portal project sooner.   

Ultimately, the client onboarded several Kalles Group consultants: a UI/UX Designer with 9 years of experience, a Quality Engineer with 20 years, a Full Stack Engineer with 19 years, and a Functional Analyst with 10 years. (That’s an average of 14.5 years of experience per consultant.) 

 

Managing the team and providing hands-on support through changes 

Kalles Group has a go-to account manager who meets regularly with the client to get feedback, discuss changing needs, and generally facilitate open conversation. With a single person making sure everything goes smoothly, the client never has to wonder who to call. 

There’s also an internal manager (“delivery manager”) with a technical background who regularly interfaces with the consultants to support them through issues, obstacles, and changes, ensuring there are no surprises. The delivery manager and account manager partner to run monthly meetings.  

During times of change, the two Kalles Group managers can provide support for consultants when work responsibilities are altered or when they’re pivoted to other roles at the client.  

Results

Helping a complex project get off the ground quickly with quality consultant matching 

Since Kalles Group’s team joined the project, the client team has completed the build stage of the portal and caught up on other parallel initiatives. Work is on track to initiate the next portal phase later this year. 

Kalles Group’s help in building a team of expert-level engineering staff within just a couple short weeks, which included providing a consultative opinion on both technical aptitude and culture fit, was instrumental in preventing hiring and onboarding from being a major bottleneck impeding progress.
