Challenge

A need for expert privacy help, one role at a time 

 Companies often turn to consulting firms when they need highly skilled professionals to help with a short-term, intensive project. However, it can be just as tricky to build up a strong team over time with in-house recruiting, particularly when the necessary expertise is in a challenging field like privacy.    

Privacy compliance is increasingly complex. Regulatory requirements shift frequently, and privacy professionals must stay current across legal frameworks, enterprise systems, ethical considerations, and cross-functional coordination. The work spans areas such as law, cybersecurity, technology, and data governance, making it essential to have a team that can operate across disciplines and produce real results. 

The client needed support in growing a privacy team made up of experienced, independent professionals who could contribute immediately. Their aim was not only to meet requirements under GDPR, CCPA, CPRA, and HIPAA, but also to move forward with privacy operations that could be sustained and maintained over time. This included advancing initiatives like Records of Processing Activities (ROPA) to a steady, manageable operating state. That required individuals who could clarify roles, eliminate excess process, and make repeatable tasks more efficient. 

One key example was the consolidation of multiple ROPA entries related to internal employee monitoring systems. With help from Kalles Group, the client simplified over 60 fragmented records down to seven grouped master records. As highlighted in this customer story, this effort reduced confusion, improved consistency, and made recertification less time-consuming for stakeholders.

Building trust through a consistent demonstration of excellence 

 

The client hired their first consultant through Kalles Group to build a privacy assurance program. Next, they needed help with ROPAs and hired another KG consultant. Later, a requirement came up for Privacy Impact Assessments (PIAs), which led to the client bringing on a third KG consultant to their privacy team. Here’s a quick summary of what each consultant contributed:  

  • Building a privacy assurance program (Consultant 1). The client hired a privacy analyst from Kalles Group to focus on privacy assurance and digital monitoring. The consultant developed a privacy maturity model and drafted SOPs.  
  • Bringing ROPAs to a business-as-usual state (Consultant 2). Kalles Group’s next consultant filled a position that one of the client’s employees had just left. The responsibilities for this role included devising a better ROPA process and retiring and consolidating ROPAs where necessary.  
  • Assisting with PIAs (Consultant 3). The client was migrating to Google Cloud Platform (GCP)​, requiring them to assess the privacy impact of this move. The third KG consultant worked on all technical PIAs and reviewed them with the “Triad” (Legal, Security, and Privacy) to gain approval.  

Once a consultant joined the client’s privacy team, Kalles Group would provide continuous support through an account manager (who interfaced with the client) and a delivery manager (who interfaced with the consultants). The KG managers worked hand-in-hand with the client’s privacy director to keep things moving along smoothly during times of change (such as when opportunities arose for a consultant to be pivoted to another role). 

Results

Seeing this, the client kept coming back to KG with specific needs to meet, confident that the consultants presented would be an excellent fit.  

Thanks to Kalles Group’s ability to provide specialized privacy expertise that is often difficult and time-consuming to source internally, the client not only remained compliant with regulatory requirements but also made measurable progress across key initiatives. Our team led the redesign of their ROPA survey, consolidated redundant records, and implemented a more efficient ownership model. This significantly reduced administrative overhead and improved audit readiness. As a result, the client successfully completed multiple privacy-related projects that had previously stalled.
